Start, resolve and close a repair
Start
Choose Start on a New or Acknowledged repair when work begins. Its status becomes In Progress.
Resolve
Choose Resolve when the work is done.
- Cost (optional): enter what the work cost, in naira. Leave it blank if you do not know yet. Blank means no cost recorded, not zero.
- Expense fund (Admin and Facility Manager, when you enter a cost): the fund the cost is paid from. It starts as the property's Operations Fund; choose another if that is where the money came from. An Operations Assistant has no choice: their costs go to the Operations Fund.
What happens when you record a cost
Nutshell records exactly one expense for the property:
- Type Expense, category Maintenance, dated the day you resolve the repair.
- The note reads Maintenance: the repair's title, and it carries the assigned vendor's name if there is one.
- It is taken from the fund you chose (or the Operations Fund), so that fund's balance goes down by the cost.
- It appears in Transactions, in the property's Funds, and in your reports, and the repair shows Cost with the amount.
A repair can be resolved only once, so its cost cannot be recorded twice. Nutshell does not ask anyone to approve the cost.
A recorded cost is a financial record
The expense is created from the repair, so it is read-only in Transactions: it cannot be edited or deleted there. Check the amount and the fund before you save.
Close
Choose Close on a Resolved repair to confirm it is finished. Closing records the date and writes nothing financial: no expense is created and no balance changes.
If you need to reopen a repair
Resolved and Closed repairs cannot be reopened. Report a new repair if the problem comes back.
