How maintenance works

Maintenance is where you record repairs, see who is doing them and what they cost. A repair moves through a few statuses, and when you resolve it with a cost, Nutshell records that cost as an expense for the property.

Where to find it

  • Maintenance in the menu, under Portfolio: every repair on the properties you may see, with counts, filters and the list.
  • A property's Maintenance tab: the repairs for that property only, and the button to add one.

The life of a repair

StatusWhat it meansWhat moves it on
NewReported; nobody has looked at it yetAcknowledge, or Start
AcknowledgedSomeone has seen itAssign a vendor, Start
In ProgressWork has startedResolve
ResolvedThe work is done; its cost, if any, is recordedClose
ClosedA manager has confirmed it is finishedNothing further

Resolved and Closed both count as finished in your reports.

Priority

Each repair has a priority: Urgent, High, Normal (the default) or Low. Priority is separate from status. An Urgent repair that is still New is shown at the top of the property's Maintenance tab and counted on the Maintenance page, so it is not missed.

Nothing is sent to anyone

Nutshell does not email, text or message anyone about a repair or its priority. Check the list.

What Maintenance does not do

  • It does not ask anyone to approve a cost, and it has no budget limit.
  • It does not send messages to vendors; a vendor has no login.
  • It does not attach photos.
